Enterprise intranet interface redesign and information architecture project

Context

The project was developed as part of the evolution of a corporate intranet used every day by more than 120,000 people, across different functions, roles and organizational areas. Over time, the progressive introduction of new services, content and sections had made the ecosystem increasingly complex, creating a structure that was difficult to understand and navigate. Finding relevant information often required users to already know the language and logic used to organize it. The goal of the project was therefore to redesign the information architecture, starting from users’ needs and mental models to build a clearer, more consistent and easier-to-navigate structure.

The challenge

The main complexity was not only the large amount of content available, but the need to design a structure capable of working for people with very different roles, needs and levels of familiarity. It was necessary to understand how users actually searched for information and services, challenging categories and organizational structures that had become established over time. The work therefore combined analysis of the existing ecosystem, research with users and stakeholders, and tree testing activities, using the evidence collected to progressively design and validate a new information architecture. This made it possible to base design decisions on actual user behavior rather than exclusively on internal structures and preferences.

The process

Ecosystem audit

Reviewing the existing structure, content and navigation patterns to identify pain points, duplication and opportunities for improvement.

UX Research

The outcome

The project resulted in the definition of a new Information Architecture built on user research and validated through tree testing sessions. The tests made it possible to assess how effectively people could find content and services, revealing issues and ambiguities in the structure before moving into interface design. The evidence collected was used to progressively refine categories, hierarchies and navigation paths, reducing the risk of carrying structural problems into the subsequent design and development phases. The result was a stronger, more scalable and user-centered foundation for the future evolution of the new intranet.
